When You Are Going To Compete In Trade, You Need Desktop Management

Every business that succeeds grows, and as it grows their communication and information technology needs grow. Step by step a computer finds its way onto each desk in the office as each employee strives to stay at the leading edge of the business. Keeping these computers in touch with one another and properly maintained requires skilled desktop management.

The idea of using precious manpower slots to have professionals who focus largely on the set up and care taking of the information technology network would have seemed foolish only a decade ago. But technology has changed and now the internet is an integral part of business and one of its biggest threats. Keeping the system running smoothly and free of attacking programs designed by people with talent but an antisocial streak is a full time job.

Having professionals dedicated to the set up and maintenance of the office information technology network is the most efficient way to get the most out of its capabilities. One of the drawbacks to computers is the complexity of keeping them running, updated and working for the employees, instead of the other way around. The costs of allowing each employee to set up their own machine and keep it working can exceed the value of the system. One of the drawbacks to the new dependence on information technology is the cost of software and the licenses for multiple computer use. There is little a company can do as the programs need regular updating in order to stay current and to avoid security problems. The least expensive way to run a network is to have a central hub from which all the computers can be remotely cared for. There are tremendous efficiencies to gain by having an individual or small group dedicated to the care and maintenance of the company information technology system. It allows the other employees to focus on their job without the distraction of installing and updating the programs they are using to do their jobs. While individual employees may feel that it would be faster for them to install their own software, the incidence of problems arising from such a course of action reveal that is not usually the case. Every software maker touts their product as a plug and play process that requires no special training or knowledge. To their credit, most of the time that works out pretty well. But regardless the effort and intent, there are simply too many ways to install too many types of programs for the makers to evaluate and prepare for. This leave the occasion where installing a seemingly simple program hijacks the system and freezes or other wise compromises the entire network. This method of maintaining the information system also helps preserve the integrity of this process, which is often sabotaged by well meaning and hard working employees who mean well. Invariably employees have experimented with a wide variety of programs on their home systems, and often grow quite fond of specific capabilities. In the attempt to either use the same productivity in the office or the desire to share their favorite program, they introduce these favorite programs to the work system.

When employees introduce software from home, they risk circumventing preventive efforts by the desktop management team to keep malware out of the system. It is complicated enough to fight the constant attacks from the external world of the internet. Protecting from intrusions within the firewalls and other protective measures is difficult, costly and inefficient and a bane to the technicians working hard to keep the system running.

There is an ironic truth in the management complaint that computers have made the business so complex that if the power goes off or the information technology freezes up, everybody may as well go home. It has come to pass that we are so deeply invested in computers to operate on a daily business that we can not continue to operate without them. While this is literally true in many manufacturing and financial sectors, it is also beginning to be the state of affairs for nearly every company, and highlights the need for systems management software.

 

Information is the lifeblood of industry, from determining what product or service is needed to handling the myriad requirements that must all be pulled together to create them. Knowing the customer is a complicated business that is not intuitively obvious, and those who crack the code first are the most successful. Information is the key to the code, and information technology allows for its collection and analysis. As this new era of automation matures, the quest for ever greater detail in the information collected and studied grows until there comes a point where there is simply too much to effectively make sense of.

 

Not only is the business of manufacturing a goldmine of data, but even how we find, hire, manage and motivate our workforce is the subject of mountains of information. The process of garnering this information, however, has become an enormous task outside the normal skill set of management. Increasingly we find businesses outsourcing portions of, if not the entire process.

 

There is no question that the greater the quantity of valuable accurate data a business has to feed into the decision making process, the more likely a correct decision will be arrived at to the benefit of the company. The problem is knowing how much data is enough, and which data is useful. A manager needs to know what data was collected and under what conditions to understand the information from it. Trying to keep track of all the individual input through his area of operational control necessarily requires precious time sacrificed from running the business.

 

The reason information systems became such an integral part of business is their ability to enhance the decision making process. When the use of the system becomes so cumbersome and time consuming that it cuts into the time a manager has to explore data and make operational decisions, it has stopped enhancing the business. The complexity of our tools is rapidly becoming more problematic than running a business without them. While there is certainly reason to expend energy training management on new tools and software, it should not continue to erode their time on a day to day basis.

 

Not surprisingly, this phenomenon is known to information system specialists, who are working feverishly to reign in the complexities of using management tools. It should also be no surprise that the solution will likely entail software designed to run or enhance the existing management tools, computers in charge of computers. This secondary iteration of control is much like the levels of management in a company, with each successive level designated to run the level below, allowing the higher levels to focus on a more strategic role.

 

If a business is in the manufacturing industry, management does not want or need to spend its time gathering and inputting data about the supply chain, constructing statistical process control charts, or gathering data on trends in the demand for their product or the prices of their supply chain. What they need is that data collected for them by an automated system that collects and collates the information and packages it in a readily identifiable format and delivered to their desktop before the day begins.

 

Allowing the manager to spend their time using the data is the goal of information technology, and that means that while they need to understand what and how information is selected for their use, they need to be able to rely on data that is collected and provided to them as they need it. If new data geographic information is useful in determining which stores need more or less product, then they need a means to tell the computer to collect it for them. Systems management software provides the means for management to go from slave to the machine to leader of an industry.
